About Secure File Delivery

What is Secure File Delivery?

The Secure File Delivery website was created in May 2018 to comply with new government guidelines regarding data privacy as part of the General Data Protection Regulation (GDPR). These new guidelines mean that operations run by Worldline IT Services UK Limited are no longer allowed to transfer unencrypted files containing personal data via email. With this in mind, we developed the Secure File Delivery website so that we can continue delivering files to you, while keeping your personal data secure.

Files used to be sent as email attachments. Why am I now being directed to this site?

The files you used to receive as attachments have been classified as containing personal data, and can no longer be sent via email. From now on, we’ll email you with a notification when your file is ready to view. Then all you have to do is click the link in the email to access and download your documents from the Secure File Delivery website.

Can I have the emailed attachment back please?

Unfortunately not. We’re committed to the protection of personal data, so we will no longer attach any files containing personal data to our emails.

Can anyone else download my files?

No. The design of Secure File Delivery system is such that only recipients of the original email can download the file. This means that even if you forward an email to someone else, they won’t be able to download a file unless they were also a recipient of the original email.

Example: If an email containing a secure file was sent to fred@bloggs.com, only Fred would be able to download the file. If John registered with the website too (john@smith.com) he would not be able to download the file, even if Fred gave the secure file ID to him, since the system knows that the original email was not sent to John.

Are my details safe on your website?

The Secure File Delivery website only requests your email address when you register. You won’t be asked for any other personal details. We will not use your email for marketing purposes, nor will we give or sell your email address to anyone else.

Getting started

How do I sign up?

Registering a Secure File Delivery account is easy to do. Just follow the steps outlined below:

  • Step 1: Click the "register here" link on the main page (or go to the page directly)
  • Step 2: Enter your email address (important: This must be the email address that the secure file is being sent to)
  • Step 3: Click the "I am not a robot" prompt and then hit "submit"
  • Step 4: Check your inbox for an email from us (it will come from businessaccount@premierinn.com. Check your spam folder if you’re still waiting after a minute or two)
  • Step 5: Follow the link provided in the email to set your own password on the website
  • Step 6: Log in with your new password

That's it! If you visited the site for the first time after clicking a file download link, you should automatically be taken to the download page for your file. If not, click the link again.

Why do I need a separate username and password for this site?

The Secure File Delivery website is a standalone website, so you’ll need to register and log in with your email address and a new password of your choice.

Why can't I choose a different login name or change my email address?

Part of the security access to the Service File Delivery website is based on your registered email address. If you change your email address, you’ll need to register a new account with the new email address. Files sent to your new email address will be accessible with the new account, and files sent to your previous email address will continue to be accessible using your old account. If you no longer require files from the old account, you might decide to close it (see "Can I close my account").

I don’t like clicking links in emails. Can I download the file without clicking a link?

Every email that contains a link to this website should also contain a secure file ID. This is a unique file reference that you can copy and paste directly into the website. To use this ID, simply log in as normal, paste the ID into the website, and then click "Locate file".

How long will the file be available for?

You’ll have 28 days to access your files from the date that the original notification email was sent.

Why doesn’t this look like the site I normally use?

Think of this service in the same way you might use DropBox or other commercially available file sharing systems.

The Secure File Delivery website has been designed as a standalone system for accessing files, and developed by Worldline IT Services UK Limited for all of its many customers. In terms of usage, the portal is similar to DropBox and other file sharing systems.

What is a secure file ID?

When a file is ready to view, we’ll send you a notification email with a link containing a secure file ID. Each secure file ID is unique and will be assigned to a document once it’s safely stored in the Secure File Delivery Database. You can copy and paste this secure file ID from your email directly into the website.

Troubleshooting

I’ve forgotten my password. How do I get a new one?

Resetting your password is easy. Start by clicking "Forgotten password" on the main login page. After you enter your email address and confirm that you’re not a robot, we’ll send you an email to reset your password. You’ll need to enter the email address linked to the portal, however, as the system won’t send out a password reset link to an email address it doesn’t recognise.

Why can’t I download a file using a link that a colleague sent me?

The security of this system is based around your email address – for example, a file sent to fred@bloggs.com can’t be download by john@smith.com. If you need a file that was originally sent to someone else, then you can ask them to download the file for you and send it to you securely. If it’s a file that you need on a regular basis, then you should speak to the relevant member of your team about adding your email address to the original email distribution.

My file has “expired” or has been “deleted”. What do I do?

For security reasons, files are only available to download 28 days after the original email was sent. If you were unable to download the file within this time, please check your original email for further instructions.

My file was sent to a group mailbox address. How do we download the file?

The Secure File Delivery website ensures that only recipients of an email can download that file. So if an email has been received by a shared mailbox (e.g. accounts@somebusiness.com) then only an account registered with that email address will be able to download the file.

In this situation, it’s probably easier if one person registers the shared email address, downloads the file, and then makes it available securely within the destination group.

Alternatively, you can add multiple email addresses to the original email distribution so that multiple users can download the file.

I’ve lost the original email that was sent to me. How do I get my file?

Unfortunately, for security reasons, you’ll need to provide the unique secure file ID every time you want to download a file. This is to safeguard against certain situations – for example, preventing a past employee from accessing secure files after they’ve left the company.

If you still need to retrieve a file, you can contact the helpdesk for the system the file relates to.

Why can't I see files I've previously downloaded in the website when I log in?

For security reasons, you’ll need to provide the unique secure file ID every time you want to download a file. This is to safeguard against certain situations – for example, preventing a past employee from accessing secure files after they’ve left the company.

Can I close my account?

Of course. Simply log into your account, click your email address at the top right of the page and select ‘Close account’ from the menu. If you change your mind, you can register again at any time.

Someone who used to receive a file has now left our company. How do I stop them from downloading files in future?

Contact the helpdesk for the system that the file relates to, and they’ll be able to help you.
